Smart kiosk helps complete administrative procedures in under 5 minutes

Thanh Hoa Provincial People’s Committee pilots a smart kiosk model, helping people submit applications and receive electronic copies in just a few minutes thanks to the integration of AI and interconnected data.

On March 30, the People’s Committee of Thanh Hoa province coordinated with the Vietnam Bank for Agriculture and Rural Development (Agribank) to launch a pilot smart kiosk model and authentication system, issuing digital copies of electronic documents, aiming to shorten the time to resolve administrative procedures.

According to the leader of Thanh Hoa Provincial Public Administration Service Center, with this model, people can directly operate at the kiosk to scan original documents. The system uses identification technology and artificial intelligence to automatically check the validity, authenticate information and transfer documents to processing staff. The entire process of issuing legal electronic copies only takes about 3-5 minutes, instead of about 15 minutes as before.

A notable point is that the system has the ability to connect with data from the Ministry of Public Security, allowing multiple procedures to be performed simultaneously on one interface such as birth registration, permanent residence registration, and issuance of health insurance cards for children under 6 years old. Common procedures such as issuing criminal record cards and changing driver’s licenses are also integrated, helping to simplify the process.

In addition, people can send card photos directly from their phones, submit documents through the National Public Service Portal right on the spot and receive results via email, QR code or electronic application, significantly reducing travel time and costs.

The system also automates many steps in the authentication process, capable of warning when users submit incorrect documents. For staff, the kiosk supports guidance and records lookup, helping to increase work efficiency 3-5 times and focus on professional tasks.

According to Mr. Nguyen Tuan Hoa, Director of Thanh Hoa Provincial Public Administration Service Center, many localities are currently under great pressure due to the increased number of applications while the technological infrastructure is still limited. Putting smart kiosks into operation is expected to help people access public services faster, reducing dependence on paper records.

The model was piloted from March 31 in 10 units, including the Provincial Police One-Stop Department and 9 public administrative service centers in communes and wards: Hac Thanh, Ham Rong, Dong Son, Dong Quang, Dong Tien, Sam Son, Trieu Son, Hoang Hoa and Kim Tan.

Vice Chairman of Thanh Hoa Provincial People’s Committee Mai Xuan Liem requested units to continue improving the system based on people’s feedback, ensuring stable, safe operation and compliance with data security regulations.

After the pilot phase, Thanh Hoa plans to expand the model to 166 communes and wards, aiming to build a modern administration, and at the same time set a goal of being in the group of leading localities in the country in digital government by 2030.
